How To Write A Business Thank You Letter

A business than you letter is much more than a polite gesture. Its something that is often "expected" and in most cases it makes for proper business etiquette. Knowing when to send a business thank you note is crucial and knowing what to say is just as important. Above all you need to use it a means of establishing, building and fostering relationships in your business. We usually write a thank you note to acknowledge someone's time or effort and while the main purpose of the note is to say think you it also serves as a "reminder" of a meeting or a prospective business relationship.

With that in mind, lets quickly look at the components of a good thank you letter...

- Always use formal letter heads and don't try to get funny or "cute". Always use your company's official stationary and never use cards that you can buy in stores. It needs to look professional and always remember that is official business – even if the note has a lighter tone.

- Always address the note to a particular person who helped you, did a favor for you or who rendered some sort of service to you.

- Always use a formal greeting like Dear Mr. Thompson and if you know the person well you can use his or her first name, but keep it professional like Dear Steven.

- Always explain why you are writing the note – preferably in the first sentence or two. After all, there has to be a purpose for your note and unless you spell it out it can be confused for something else. Obviously you also need to say who you are :)

- Always keep a business thank you letter as brief as possible and maintain a professional language with a light touch and be friendly.

- Always close the note with your full name, your title (or position) if its appropriate and sign it by hand. If you have a good hand writing you can always write the entire note by hand for an added personal touch.

- If its appropriate then you should include your business card with the note – especially if the note is about a potential business relationship.

- If someone did you an exceptional favor then you might want to go beyond just a business thank you note. You might want to include some sort of gift. Flowers or maybe tickets to the weekend's game are great gifts that can be very appropriate.
